How we collect, use, and protect your information

1. Introduction

Logelo LLC (“Logelo,” “we,” “our,” or “us”) provides Leo, an AI assistant built for freight brokers, together with related software and services (the “Services”). Leo can hold conversations by chat, place and receive telephone calls with carriers and shippers on your behalf, send messages, and help you qualify leads, look up lane rates, and manage day-to-day brokerage work. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, create an account, or otherwise interact with the Services.

This Privacy Policy applies to users located in the United States. If you are located outside the United States, please do not use the Services. By accessing or using the Services, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree with this Privacy Policy, you must discontinue use of the Services immediately.

2. Information We Collect

2.1 Information You Provide Directly

We collect information that you voluntarily provide to us when you register for an account, configure Leo, express interest in our products and services, participate in activities on the Services, or otherwise contact us. The personal information we collect may include, but is not limited to:

  • Identifiers: Name, email address, phone number, mailing address, username, password, and similar contact information.
  • Business and Professional Information: Company name, MC/DOT or brokerage authority details, the lanes and equipment you operate, and information about your team.
  • Freight, Carrier, and Customer Data: Load and lane information, rate data, and contact and business details for the carriers, shippers, and customers you work with, including information you import into or generate within the Services and your connected CRM.
  • Call Recordings and Transcripts: Where recording is enabled, audio recordings and text transcripts of calls that Leo places or receives on your behalf, along with call metadata (time, duration, phone numbers, outcome).
  • Communications: Records of correspondence with us and content exchanged through the Services, including support requests, feedback, and inquiries.
  • Payment Information: Billing address and payment details, which are processed by our third-party payment processors and are not stored on our servers.

You are not required to provide sensitive personal information (such as racial or ethnic origin, religious beliefs, health information, or sexual orientation) to use the Services, and we do not intentionally collect such information.

2.2 Information Collected Automatically

When you access or use the Services, we automatically collect certain information about your device, browsing actions, and usage patterns. This information may include:

  • Device Information: Hardware model, operating system and version, unique device identifiers, browser type and version, language preferences, and network information.
  • Log Data: Internet Protocol (IP) address, access times and dates, pages viewed, time spent on pages, clickstream data, referring URL, and other actions taken within the Services.
  • Location Information: General geographic location inferred from IP address. We do not collect precise geolocation data.
  • Cookies and Similar Technologies: Information collected through cookies, pixel tags, web beacons, and similar technologies as described in our Cookie Policy.

2.3 Information from Third-Party Sources

We may receive information about you from third-party sources, including load boards and freight-data providers (such as DAT), connected CRM and communications platforms you authorize, analytics providers, and publicly available sources. Third-party data is used to operate and improve the Services and is not sold or transferred as standalone datasets. We do not independently verify third-party data for accuracy, completeness, or timeliness, and we make no representations or warranties regarding such data.

3. How We Use Your Information

We use the information we collect for various business and commercial purposes, including:

  • Providing and Operating the Services: To create, maintain, and secure your account; to operate Leo, including placing and receiving calls and messages you direct it to make; to process transactions; and to deliver customer support.
  • Generating Insights and Recommendations: To qualify leads, surface lane rates and freight data, summarize calls, and generate the insights and recommendations delivered through the Services.
  • Improving and Developing the Services: To understand how users interact with the Services, identify trends, conduct research and analysis, and develop new features.
  • Communications: To send administrative information, such as updates to our terms and policies, and to respond to your comments, questions, and requests.
  • Marketing and Promotional Communications: To send you information about products, services, promotions, and news we think may be of interest. You may opt out at any time.
  • Security and Fraud Prevention: To detect, investigate, and prevent fraud and other illegal activity, protect the rights and property of Logelo and others, and enforce our terms and policies.
  • Legal Compliance: To comply with applicable laws, regulations, legal processes, or governmental requests.

We do not sell personal information as defined under applicable privacy laws, and we do not use your personal information or content to train general-purpose AI models (see Section 4).

4. Automated Processing and Artificial Intelligence

Leo uses automated systems, machine learning, and artificial intelligence technologies, including third-party AI providers, to hold conversations, transcribe and summarize calls, qualify leads, and generate insights. It is important that you understand the following:

  • You Are Interacting With AI: Leo is an artificial-intelligence assistant, not a human. On calls it identifies itself as an AI assistant. See our AI Disclosure.
  • Informational Outputs Only: Outputs generated by the Services are provided for informational purposes only and do not constitute legal, financial, tax, or other professional advice. Outputs may be incomplete, delayed, or inaccurate and should be independently verified.
  • Human Review and Approval: You are responsible for reviewing, verifying, and approving any action taken based on information provided by the Services.
  • No Training on Your Data: We do not use your personal information, customer data, or call content to train general-purpose AI or machine-learning models, and our AI subprocessors are contractually restricted from doing so.
  • Your Compliance Responsibility: You are solely responsible for how you use Leo, including obtaining any consent required to call, text, or record the people you direct it to contact, and complying with the TCPA, call-recording laws, and other applicable regulations.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to collect and store information about your interactions with the Services. Please refer to our Cookie Policy for detailed information about the types of cookies we use, how to manage your preferences, and the third-party services we use.

We honor Global Privacy Control (GPC) signals. If your browser or device transmits a GPC signal, we will treat this as a request to opt out of the sale or sharing of your personal information, as applicable under state law.

6. Sharing of Information and Subprocessors

We may share your information in the following circumstances:

  • Service Providers and Subprocessors: We share information with third-party vendors who perform services on our behalf. These providers are contractually obligated to protect your information and use it only to provide services to us. Our current categories of subprocessors include: cloud hosting and database infrastructure (Supabase, Vercel); AI model providers (Anthropic, OpenAI, Google); real-time voice, speech-to-text, and text-to-speech providers (LiveKit, Deepgram, ElevenLabs); observability (Langfuse); email and messaging delivery (Postmark); CRM and marketing automation (GoHighLevel); freight and rate data (DAT); and accounting integrations you connect (Intuit / QuickBooks).
  • Professional Advisors: We may share information with our lawyers, accountants, auditors, and other advisors in connection with services they provide to us.
  • Business Transfers: We may share or transfer information in connection with a merger, sale of assets, financing, or acquisition of all or part of our business.
  • Legal Requirements: We may disclose information if required by law or in response to valid requests by public authorities.
  • Protection of Rights: We may disclose information to investigate, prevent, or act on illegal activity, suspected fraud, threats to safety, or violations of our terms.
  • With Your Consent: We may share information for other purposes with your consent or at your direction, including with the CRM and integrations you connect.

We do not share your personal information with third parties for their own independent marketing purposes.

SMS/Text Messaging and Mobile Opt-In Data: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with subprocessors that support the Services (for example, our messaging provider) solely to deliver the messaging you request. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6.1 SMS/Text Messaging Program

Logelo operates an SMS program that sends text messages to people who have asked to receive them. Messages may include quote confirmations, shipment status updates, follow-up messages, account notifications, and marketing or promotional messages such as offers and product updates.

How we obtain consent: Consent is collected directly by Logelo on our own website through an explicit opt-in checkbox that appears next to the field where you provide your mobile number. The box is never pre-checked, and consent is not a condition of purchase or of using the Services. We do not buy, rent, or accept phone numbers from lead sellers or any other third party for messaging purposes. When you opt in, we record the date and time, the wording of the disclosure you agreed to, and the page you submitted, so that your consent can be verified later.

Frequency, rates, and how to stop: Message frequency varies. Message and data rates may apply. You can cancel at any time by replying STOP to any message, after which we will send one confirmation and then stop messaging you. Reply HELP for assistance, or contact us at connect@logelo.com. Opting out of text messages does not opt you out of email or affect your use of the Services.

Carriers are not liable for delayed or undelivered messages.

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Specific retention periods include:

  • Account Information: Retained for the duration of your account and for a reasonable period thereafter.
  • Call Recordings and Transcripts: Retained while your account is active or as needed to provide the Services, and deleted or anonymized thereafter unless a longer period is required by law or your settings.
  • Usage Analytics: Retained in identifiable form for up to 24 months; may be retained indefinitely in aggregated or anonymized form.
  • Payment Records: Retained for seven (7) years as required by tax and financial regulations.
  • Marketing Preferences: Retained until you withdraw consent or update your preferences.

8. Data Security

We implement appropriate technical and organizational security measures designed to protect the security, confidentiality, and integrity of your personal information, including encryption of data in transit and at rest, access controls, and regular security review.

However, no method of transmission over the Internet or electronic storage is completely secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.

9. Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal information. Residents of California and other states with comprehensive privacy laws may have the following rights:

  • Right to Know / Access: To request the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of third parties with whom we share it.
  • Right to Delete: To request deletion of personal information we collected from you, subject to certain exceptions.
  • Right to Correct: To request correction of inaccurate personal information.
  • Right to Opt-Out of Sale or Sharing: To opt out of the sale or sharing of personal information for cross-context behavioral advertising. As stated above, we do not sell personal information.
  • Right to Limit Use of Sensitive Personal Information and the Right to Non-Discrimination for exercising your privacy rights.

To exercise any of these rights, please contact us at connect@logelo.com. We will verify your identity before processing your request and will respond to verifiable requests within forty-five (45) days of receipt (extendable to ninety (90) days with notice).

10. Do Not Sell or Share My Personal Information

Logelo LLC does not sell personal information as defined under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), or other applicable state privacy laws, and does not share personal information for cross-context behavioral advertising. To exercise your right to opt out of any future sale or sharing, contact us at connect@logelo.com or use the Global Privacy Control (GPC) signal in your browser.

11. Children's Privacy

The Services are not intended for individuals under the age of eighteen (18), and we do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact us at connect@logelo.com and we will take steps to delete it.

12. Third-Party Links and Services

The Services may contain links to, or integrations with, third-party websites and services that we do not operate. We are not responsible for the content or privacy practices of those third parties, and we encourage you to review their policies.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date above, and for material changes we may provide additional notice. Your continued use of the Services after the effective date of any changes constitutes your acceptance of the revised Privacy Policy.
